  1. Databases

    1. There are databases for your Employers, Students and Alumni. These databases can be completely customized to track as much information as you need to track for these different type of contacts

    2. You are able to create unlimited custom databases as well if you wish to track any other types of contacts

    3. If you wish to customize any of your databases please speak to your schools administrator

  2. Searching Your Databases

    1. On the left navigation of the Students tab, you will see a sub-heading called “Contacts” which contains the links to search for contacts in your databases

    2. If you wish to find a specific contact you can use “Quick Search” and search by name, email, or telephone. You can use the “Databases:” drop down to select which database you would like to search

    3. If you wish to view your entire database you can use the “Advanced Search”. The “Advanced Search” allows you to filter by all the fields on your profile so you can pull up a targeted group of contacts. You can select just students in a particular program/start,

      alumni, or employers within a specific industry. You are also able to filter by any custom questions.

    4. You can then click on the “View” button to go to the contacts profile

    5. There are also links at the top of the results to send the group a “Mass Email” or to do a mailout you can “Print Letters” and “Print Labels”

  3. Employer Profile

    1. In the employer database, you can manage a list of all potential employers that could hire your graduates

    2. You will be able to assign these employers to specific students, to track which employers are most affective for your school

    3. You can track as much information as you would like to know about your employers in the middle column. When you add any information be sure to click “Save” to save your changes

      1. The right column provides all of the communication history:

        1. All incoming and outgoing emails are automatically saved to the contact sheet

        2. All incoming and outgoing text messages are automatically saved to the contact sheet

        3. You are able to print letters/documents

        4. All previous communication is stored chronologically by follow up type

        5. You are able to schedule follow up phone calls and appointments on your calendar

      2. In the “Follow Up Options” section on the top right of the profile you are able to use these communication tools (Email, Text, Letter, Calendar, Notes).

      3. If you wish to create a new employer, you are able to click “Input a New Contact” on the left navigation under the “Contacts” heading. You are also able to add an additional contact/location to an already existing employer, by going to their employer profile and selecting “Add an Additional Contact” in the “Contact” drop down

  4. Student Profile

    1. You are able to view the contact information for the student in the middle profile.

    2. The right column provides all of the communication history:

      3. You are able to print letters/documents

    4. On the “Student” and “Alumni” database, you will see a section called “Employer Details” (please note this section can have its heading customized). In this section, you

      have the ability to assign the employer to the student/alumni, as well as track their employment status

    5. Employment statuses can be customized using the Employment Status admin tool. Please speak to your school’s administrator if you wish to make any changes

  5. Calendar

    1. You can double click on any calendar item to view the appointment details

    2. You can view other users calendar in the “Staff” drop down

    3. You are able to schedule appointments on other user’s calendars

    4. Items that have not been dispositioned appear in bold

    5. Once they are dispositioned they are no longer bold

    6. If an item if not completed it will automatically be carried over to the next day

  6. Appointments

    1. When scheduling an appointment you must select an appointment type

    2. For phone calls you will need to disposition your call and save a phone call outcome (Call Attempted, Call Received, Call Left Message, Call Complete)

    3. For all appointments you must specify if the appointment showed (all appointments are defaulted to no show)

    4. Phone calls can be scheduled at specific times or added to the generic call list below the calendar

    5. When dispositioning appointments you are able to schedule your next follow up on the same screen

    6. All appointments appear in the students communication history and on your calendar

    7. You are able to book an appointment on someone else’s calendar by selecting their name in the staff drop down (at the top of the calendar page).

  7. Reporting

    1. To access “Career Services” reporting click the “Students” tab at the top of the page. And then select the “Reporting” flyout at the top left of the page. You will then see the “Career Services” reports section

    2. The “Employer Rank” report will tell you which employers are hiring your graduates (as per 4. d above). You are able to see which employers have hired the largest number of graduates, and which have hired none. You are also able to filter the report by program, start date, etc.

    3. The “Graduate/Employment Rate” report will tell you both you graduate rate, as well as your employment rate for your school, campus, program, start date, etc. You can see the number of students per start, the number of graduates, and the number of employed graduates. Or if you do not filter by start date, you can simply see the number of graduates during any period of time, and then the employment rate during that period.

  8. Mass Communication

    1. In the “Advanced Search” results you will see short cut links to “Send a Mass Email”, “Print Mass Letters” or “Send Mass Text Message” to your targeted group of leads

    2. These options are also available on the left navigation.

    3. After sending a “Mass Email” you are able to go to “Email Tracking” to view who opened our email, and what links did they click within your email.

  9. Templates

    1. If you wish to save an templates for future use (E-Mail, Letter or Text Message) you can create them using the “Edit Templates” page

    2. These templates will appear when you send a message or print a letter

    3. You can draw any field into your template from the contact sheet of the lead (such as First Name, Program Name, Start Date, etc) by using the “Insert Field” drop down

  10. Un-Read Messages (Optional)

    1. You are able to manage incoming mail within CampusLogin, to have all emails automatically save to the contacts profile

    2. On the left navigation you are able to access your “Unread Mail” and “Unread Text Messages”

    3. These new messages stay on the page until you have read and/or replied to them

    4. Once you read them they will be filled away to the leads contact sheet indefinitely

    5. If you wish to follow up with a message later you can click “Keep as Un-Read”

    6. If you wish to view a traditional inbox of all messages in chronological order you can by selecting “Inbox” in the “View” drop down

  11. Sent Emails

    1. When you send a mass email or individual email CampusLogin will automatically track if it is received, opened and if they click a link within the email

    2. You will see this information on the “Sent Mail” page

    3. This is done by encoding a unique, non-visible image in all emails, and if that image loads we know the email was read

    4. A tracking code is also added to each hyperlink so you can see if it was clicked or not
